Our Hotel Door Locks Keep Reading a Key Card Encoded for a Room Number We Have Never Had

Every lock holds its own audit trail in a chip, read out with a handheld on the door itself. Eleven locks have a denied entry from a card encoded for room 019, on a floor plan that stops at 012.

I am the maintenance supervisor of a hundred and sixty room hotel and the locks are mine.

Most people assume hotel locks are wired to reception. They are not. Each one is a self contained unit in the door: battery, motor, a card reader and a chip. The encoder at reception writes a card with a room number, a date range and a check digit, and the lock decides on its own whether to open.

That means each lock also holds its own audit trail, in the chip, on the door. Last few hundred events. You read it with a handheld that plugs into a port under the handle, and you do that when a guest says somebody has been in their room, which happens perhaps twice a year and is always the housekeeper.

The audit tells you, for every card presented: the time, the card's room number, its sequence number, and whether the lock opened or refused.

A refusal is not unusual. The commonest event in any hotel lock audit is somebody trying their card on the wrong door.


In eleven locks, spread over three floors, there is a denied entry from a card encoded for room 019.

The hotel's rooms are numbered by floor: 001 to 012 on the ground floor, then 101 to 128, 201 to 228, and so on to the fifth.

The ground floor stops at 012. It has stopped at 012 since the refurbishment in 2006, and before that there were fourteen rooms down there and they were numbered 001 to 014.

There has never been an 019.


What makes this more than a stray number in a log.

The encoder at reception cannot write a card for a room that is not in the system. I have tried, because the first thing I did was try. You select a room from a list and the list is the rooms.

The card's data is structured. A lock refuses a card for three different reasons and records which: wrong room, expired, or failed check digit. A card with a corrupted room number almost always fails the check digit too, because the digit is computed across the whole block.

All eleven of these are recorded as wrong room. Which means the lock read the card, validated the check digit, and then refused it because the room number on a valid card was not its own.

So it is a properly encoded, internally consistent card for room 019.


The sequence numbers are the part that has kept me at this for four years.

Every card the encoder writes for a room carries a sequence number, which goes up by one each time a new card is made for that room. It is how a lock knows that the new guest's card cancels the last guest's: a lower sequence is refused.

The 019 card's sequence numbers, across the eleven events, in date order, are 4, 4, 5, 5, 5, 6, 6, 6, 7, 7, 8.

They only ever go up. Somebody is being re-issued a card for room 019, and the issues are years apart, and every one of them is consistent with the last.


Where the eleven are.

Three on the ground floor: 004, 007 and 011.

Five on the first floor, and all five are 101, 102, 103, 104 and 105, which are the rooms at the top of the main stair.

Three on the second floor, 201, 202 and 203.

So whoever is holding it starts at the bottom and works up the front of the building, trying doors, and gives up on the second floor.

The times are between 01:20 and 04:40. The latest of the eleven was in the November before last.


What was checked.

The encoder's own log. Reception's system keeps every card it has written since 2011: room, dates, operator, sequence. There is no 019. Not once, not a typo, not a test card.

The lock manufacturer. Their technical support were genuinely interested, which I did not expect. They asked me to pull the full audits and send them, and I did, for all eleven, and their answer after three weeks was that the events were consistent with a validly encoded card for a room number not present in our property configuration, and that they could not account for its existence, and that the most likely explanation was a card encoded by an engineer during commissioning in 2006 using a test configuration.

I took that seriously, because it is a good answer. A commissioning engineer with a test room list is exactly the sort of thing that leaves a rogue card in a drawer.

It does not survive the sequence numbers. A card from 2006 in a drawer has one sequence number. It does not go from four to eight over eleven years, because only the encoder can write a new one, and the encoder will not write 019.

And the batteries. Every lock in the building has had its batteries changed four or five times since 2006, and the audit memory survives a battery change, but the audit only holds a few hundred events and rolls over. Eleven events across eleven years means each lock is holding an event from years ago, which on a guest room door is only possible because the memory has not filled.

I checked that. The ground floor rooms in question are our accessible rooms and our least sold, and 101 to 105 are noisy and sold last. They are the eleven quietest doors in the hotel. The events have survived because nobody uses those doors.


Room 019, if it existed, would be at the end of the ground floor corridor past 012.

What is there now is a fire door and then the service area: the linen store, the old boiler room and a passage to the bins.

The 2006 drawings show that end of the corridor as it is now. The drawings before that, which I found in a box in the loft when we did the roof in 2019, are from 1971 and show fourteen rooms, and the fourteenth is where the linen store is.

It is numbered 14 on the drawing. Not 19.

I have been through the whole set twice looking for a 19 anywhere in this building and there is not one.


What I have done is nothing, and the reason is that there is nothing to do.

I cannot cancel a card I cannot find in a system. I could re-key the eleven locks, which cancels everything below a new sequence, and I have not, because the card has never once opened a door. Eleven attempts, eleven refusals, a lock doing exactly the job it was installed to do.

That is the thought I have settled on and it is the only comfortable one available: every door it has tried has held.

What I have changed is that I read those eleven audits every February, which takes an hour and which I book as a fire door inspection because that is near enough true.

Last February there was a twelfth. Second floor, 204, at 03:10, denied, wrong room.
